Tour Price Includes: Superior accommodation with en-suite facilities. Buffet breakfast daily. Various lunches, dinners and/or teas as specified in the tour itinerary. Admission to gardens and flower shows specified in the itinerary. Private luxury transfers as stated in the itinerary. Guest speakers and guides. Services of two Garden Expeditions tour directors. Arrival transfers are included only if you are joining at the designated airport on the first morning of the tour.
Tour Price Excludes: Airfares; arrival transfers other than specified above; departure transfers; excess baggage charges; passport and visa fees ; meals not specified in the tour itinerary; beverages; laundry; telephone calls; souvenirs; items of a personal nature; and those costs specified in “Miscellaneous Costs,” below.
Tour Prices: All prices shown are based on double occupancy. Single occupancy supplements are charged to cover our additional costs for single occupancy room. By joining a tour and making a payment in accordance with “Payment” section below, you expressly accept the terms and conditions set forth herein in its entirety.
Payment: Payment is due in two parts. 1) A deposit of $1,000 secures your place on the tour at the time of booking. Extension tours require an additional deposit of $500. Deposits are fully refundable for up to 30 days from the processing date. 2) The final payment is due 90 days before departure and is non-refundable. Garden Expeditions will send you an invoice 14 days before it is due. Any booking made less than 90 days before departure is payable in full and is non-refundable.
Cancellation by the Client: All cancellations must be made in writing and sent to Garden Expeditions LLC, PO Box 1436, Huntington, NY 11743 or by email to [email protected] Cancellations must be followed up by telephone (Telephone number: 631 897 9997 or 516 456 4991 leave message) and acknowledged in writing by Garden Expeditions within 7 days.
Cancellation by Garden Expeditions: A minimum of 12 passengers is required to run a tour. If the minimum number of bookings has not been received, Garden Expeditions reserves the right to cancel the tour up until 30 days before departure and will refund all monies paid. Cancellations made by Garden Expeditions will be made by telephone and followed up with a written notification.
Insurance: Although Garden Expeditions does not require proof of adequate Travel Insurance to accept your booking, we strongly encourage that you purchase it.
Tipping: Garden Expeditions has included all base gratuities for guides, drivers, dining room servers and local specialists on all our tours. Gratuities for hotel staff and those serving you while you are not with the group are not included.
Surcharges: We guarantee that your vacation will not be subject to any surcharge except for those resulting from fuel surcharges, government action, and unfavorable changes in currency rates. Even in the latter case, we undertake to absorb a certain amount of the difference in price, excluding insurance premiums and any amendment charges. Only amounts in excess of 5% will be surcharged, and there will be no administration fee when this surcharge is payable. If this means paying more than 10% of the vacation price, you are entitled to cancel your vacation with a full refund of all money except for insurance premiums and amendment charges. Should you decide to exercise your right to cancel, you must do so in writing within 7 days of receiving the surcharge invoice. No refunds will be made for services not used and/or favorable changes in currency or costs.
Choice of Law: Any and all claims arising under this agreement and/or the transactions and relationships among the parties contemplated by this agreement shall be governed by the Laws of the State of New York, United States of America.
Forum Selection Clause: Any and all claims arising under this agreement and/or the transactions and relationships among the parties contemplated by this agreement shall be brought and decided in the Courts in the State of New York, County of Suffolk.
Liability: Garden Expeditions has taken all reasonable steps to ensure that proper arrangements have been made for the tours advertised in the brochure, and that the suppliers of the services described are efficient and reputable. We have made the travel arrangements with transportation carriers and other suppliers of services connected with the tour, all of which are independent contractors. Garden Expeditions in no way owns or operates the vehicles or facilities to be used during the trip, and does not guarantee or assume responsibility for the acts and/or omissions of suppliers of services. It is possible that unforeseen circumstances will arise where an inferior vehicle is used as relief or replacement. In such situations, no refund will be issued. All bookings are accepted subject to the terms and conditions imposed by Garden Expeditions and suppliers of services, including airline, rail, coach, hotel, restaurants, and other companies, firms or persons concerned with the tour.
Garden Expeditions reserves the right to cancel a trip, change the itinerary, hotel and gardens at any time for any reasons at Garden Expeditions sole discretion based on practical considerations, including but not limited to weather, availability and quality considerations. You are responsible for, release and hold harmless Garden Expeditions from, passport, visa and safety conditions in travel destinations. Garden Expeditions reserves the right to decline to accept any person as a member of risk to the health and safety of themselves or others.
In the event that a passport is lost/stolen or one of the group members is taken ill or has an accident, Garden Expeditions will assist to the best of its ability but must reserve the right to carry on with the tour. It may be necessary to leave the tour member to rejoin later at his/her own expense.
We cannot be held liable for any loss or expense suffered by you as a result of your late arrival at the start of your tour, or at any time during your tour, for other than reasons within our control. Any willful damage to property is your sole responsibility and Garden Expeditions will not be responsible for any costs incurred due to such actions or measures taken up by the various authorities or principals. Damage will be charged to you and must be paid for at that time.
All the facts in the brochure about gardens, facilities, accommodations and other services are checked so that they are as accurate as possible before going to print. The brochure is compiled in advance and changes do happen that are not within our control. If a major change is necessary, we will keep you fully informed.
